Schedule automation
To access the schedule automation settings, go to the Organization settings
section, then to the Schedule
tab.
Basic automation
In the case of Basic automation
, you can choose from the options described below.
Schedule optimization
The schedule optimization feature automatically fills in workdays and days off to ensure the driver’s schedule complies with applicable rules and the limit of available days off.
When optimization is disabled:
- the schedule is filled strictly according to a fixed pattern, e.g., with Saturdays off,
- working days are marked as workdays (W) based on the target schedule, even if the driver did not actually work.
When optimization is enabled:
- the system automatically adds days off (O) between workdays if the driver did not actually work,
- the number of days off will not exceed the monthly allowance.
Adjustment of working time on empty days
At this time, adjusting the schedule dimension on empty days is not possible.
If we introduce new solutions as evolves, you will be notified!
Carry forward unused overtime to the next month
When enabled, this feature allows overtime hours not compensated with time off to be carried over from one month to the next within the applicable settlement period. It’s especially useful for 2-, 3-, or 4-month settlement cycles, in line with driver working time regulations. Once the full settlement period ends (e.g. after three months), any remaining overtime is no longer carried over and must be settled financially.
Filling work with 50% duty
Inserting a day off for holiday on Saturday
This feature automatically grants an employee (e.g. a driver) a day off in exchange for working on a public holiday that falls on a Saturday.
Consideration of the entire billing period in recalculation
This feature ensures that when calculating working time or overtime, the system takes into account data from the entire settlement period, not just individual months.
Rounding planned hours
This feature automatically rounds up the scheduled working time to the nearest selected unit (e.g. to full 15-minute intervals). It is especially useful in equivalent working time systems, ensuring consistency and simplifying working time records.
Additional day off
This functionality allows you to define an additional non-working day within the organization. For example, if drivers work from Tuesday to Saturday (5 days per week), Monday should be set as the non-working day. This ensures the schedule automatically treats that day as a day off.
Compensation automation
In the case of Compensation Automation
, you can choose from the options described below.
Compensation for work on days off
Enabling this feature allows the system to automatically search for compensatory days off for work performed on non-working days.
Compensation for overtime bonuses
This feature enables automatic consideration of compensatory days off in exchange for overtime allowances, in accordance with applicable regulations. The system searches for available days off that can compensate for overtime worked instead of paying the allowance.
Compensation the days off for work on Sundays and holidays before overtime
When this option is enabled, the system first attempts to grant a day off for work performed on Sundays and holidays. Only if this is not possible, overtime is settled according to the applicable rules.
Compensate overtime
By default, without employee's request
– compensatory time off is calculated at a ratio of 1:1.5 relative to the number of overtime hours worked.By default, at the employee's request
– compensatory time off is calculated at a ratio of 1:1 relative to the number of overtime hours worked. In this case, the timesheet report is supplemented with the employee’s request regarding the taken overtime compensation.
Default settings applied to every newly created organization are shown below.
Have you made changes to the schedule automation settings?
Remember that to ensure previously calculated records are up to date after the changes, you must recalculate them. This will NOT affect your GTC balance!
