What is a delegation list?

The purpose of the delegation list is to present the delegations created in the system — both automatically and manually — together with a list of applicable daily allowances and accommodation lump sumsx. The values of the allowances, both national and international, are automatically determined based on applicable regulations.

Where can you find the delegation list?

You can find the delegation list:

• in the driver details view,
• in the aggregated views.

What information is available?

The delegation list allows you to check:

• the start and end dates of the delegation (clicking redirects to the activity charts),
• the duration of the delegation,
• the type of delegation (national / international),
• the assigned vehicle,
• the NBP table (applies only to international delegations – determines the exchange rate for per diems and accommodations; the method of selecting the rate can be configured in Organization settings → Delegations),
• the number of due per diems,
• the amount of per diems in the original currency,
• the converted value of per diems in PLN,
• the amount for accommodations (original currency),
• the converted value of accommodations in PLN,
• the total value (sum).

Filtering the list

By default, the filter shows delegations that started in the previous month. To view a different date range, change the Start – from and Start – to filter settings. You can also filter delegations by type (national / international).

Impact of exchange rate settings

For international delegations, pay attention to the message displayed at the top of the page – it informs you about the method used to determine the exchange rate (e.g., last day of the month, the day before the delegation ends, or the day before settlement), according to the configuration set in Organization settings → Delegations.

If you change the method for determining the exchange rate, an alert will appear instead of the standard message, suggesting that you recalculate the delegation list. If you do not perform the recalculation, the displayed values of per diems and accommodations in PLN may be outdated and inconsistent with the new exchange rate method.
